Workflow Automation

Rebuild the process. Not just the software around it.

Amayztech redesigns manual, cross-system operations and turns them into controlled digital workflows. We connect intake, documents, approvals, people and existing systems using workflow orchestration, RPA, integrations and human decision points — so work moves with clear ownership, status and traceability.

End-to-end automation capability

From manual handoffs to a controlled operating flow.

  • Process Discovery & Redesign

Map how the work actually moves, remove unnecessary steps, clarify ownership and design the future-state process before automating it.

  • Workflow Orchestration

Route work, approvals, exceptions and escalations through defined rules, stages and responsibilities.

  • RPA & Task Automation

Use bots where repetitive screen-based actions still need to happen across existing applications.

  • Document & Intake Automation

Structure submissions, collect required evidence and reduce manual checking before work reaches a reviewer.

  • Integration & System Updates

Connect applications, document platforms, databases and APIs so information moves without repeated re-keying.

  • Operational Control & Reporting

Make stage, owner, ageing, exceptions and throughput visible as part of the operation rather than through a separate status exercise.

The flow matters

Fix the handoffs before automating the clicks.

Manual work often survives between systems rather than inside them. A request arrives in one place, documents live somewhere else, approvals happen in email, and someone updates the system of record after the fact.

Automating one task does not fix a process nobody can see end to end.

Where the process breaks down

  1. Work crosses systems manually

People move information between inboxes, spreadsheets, portals and line-of-business systems.

  2. Follow-up becomes the operating model

Chasing documents, checking status and re-keying information consume time without moving the decision forward.

  3. Control becomes difficult

Ownership, ageing, rationale and exceptions are hard to reconstruct because the process lives across individual actions.

How we start

Automate the operation, not just one task.

We map the process first, remove steps that should not exist, then decide what workflow should coordinate, where RPA or APIs should execute, and where human judgement must remain. The result is one operating flow across the systems you already depend on.

Less manual movement. Clearer ownership. Visibility built into the process.

The automation path

The workflow becomes the operating layer between people and systems.

The best automation does not replace every application. It coordinates the work around them and keeps the operating record current.

  1. Capture the work

Requests, forms, documents, events or tasks enter through a structured starting point.

  2. Orchestrate the process

  3. Execute repetitive actions

RPA, APIs and integrations move data, create records, retrieve information and update systems.

  4. Keep judgement with people

Human review remains where interpretation, accountability or decision authority matters.

  5. Record and expose the operation

Status, history, ageing, throughput and exceptions become part of the same operating record.

Technology & engineering

Workflow platforms, automation tools and integration engineering — used as one operating system.

We combine workflow, RPA, document platforms and integration engineering around the process requirement. The platform is part of the solution; the operating design comes first.

Industry use cases

Four operations, rebuilt around a controlled flow.

These synthetic examples show how the same automation principles apply to different operating environments: structured intake, visible state, clear ownership, system actions and human decisions where they matter.

  1. Regulators & Public Authorities

Move licensing and registration through one controlled case flow.

Applications, supporting documents, review comments and approvals can spread across email, file shares and individual trackers. Completeness is checked after receipt and status becomes something people have to ask for.

    What changes

    • Requirements checked before a case reaches review
    • Routing, review and approval follow defined stages and authority
    • Status, evidence and decision history stay with the case
    Explore ReguFlow Pro
  2. Financial Services

Turn lending intake into a visible, credit-ready pipeline.

Applications arrive with different document sets, staff chase what is missing, information is re-keyed between systems, and nobody has a reliable view of which files are actually ready for credit review.

    What changes

    • Product-specific requirements enforced at intake
    • Document collection and system updates happen through the workflow
    • Teams see what is ready, blocked or approaching SLA
  3. Associations & Licensing Bodies

Make renewal and credential exceptions visible before the deadline.

Routine renewal data may sit in the membership system while continuing education, credentials and exceptions fall into spreadsheets, inboxes and committee follow-up.

    What changes

    • Member-specific requirements drive the renewal workflow
    • Evidence and exceptions route to the right reviewer
    • Committee decisions and renewal history stay attached to the member record
  4. Professional & Legal Services

Engagement letters, document requests, assignments and follow-up often span multiple tools. Teams spend time chasing files and reconstructing status rather than moving the client into productive work.

    What changes

    • One triggered onboarding flow coordinates documents, tasks and assignment
    • Reminders and escalation handle routine follow-up
    • Staff see blocked engagements and only intervene where needed

How we deliver

From operating problem to working automation.

  1. Map the operation

Follow the work end to end: what starts it, who touches it, where it waits, which systems are involved, and where errors or follow-up accumulate.

  2. Redesign the flow

Remove unnecessary steps, define future-state roles and decisions, and choose what workflow, RPA, APIs and people should each do.

  3. Build and prove the first flow

Put a meaningful process or slice of the process into users’ hands early, validate it against real work, and refine before expanding.

  4. Extend, govern and hand over

Add the remaining processes and integrations, document administration, train the team and establish a support and enhancement model.

Why Amayztech

Why Amayztech for Workflow Automation

  • We redesign before we automate.

If a step should not exist, automation should not preserve it.

  • We use the right execution method.

Workflow, RPA, APIs, document automation and human review each have different jobs. We combine them rather than forcing the whole operation into one technique.

  • We understand controlled operations.

Cases, approvals, evidence, deadlines, exceptions and attributable decisions are familiar design requirements, particularly in regulated environments.

  • We build for handover.

Documentation, administration, training and ongoing enhancement are part of the delivery model so the automation remains operable after go-live.

Questions we're asked

What is workflow automation?

Workflow automation turns a multi-step business process into a structured flow with defined state, ownership, rules, approvals and exceptions. It coordinates the work across people and systems instead of relying on email, spreadsheets and manual follow-up.

How is workflow automation different from RPA?

Workflow automation coordinates the end-to-end process; RPA automates repetitive actions inside that process, especially where people still have to work through application screens. We use either or both depending on the operating requirement.

Can you automate a process across systems we already use?

Yes. Most engagements start with an existing environment. We connect applications through APIs, integrations, RPA or document and data exchange rather than assuming the systems of record must be replaced.

Which workflow and RPA platforms do you work with?

We work across the major workflow and RPA platforms — including Nintex/K2, UiPath, Power Automate and Automation Anywhere — alongside the document, data and line-of-business systems around them. We are not tied to one vendor: we recommend a platform once the process, integration, control and support requirements are clear, and we will say when the right answer is the platform you already own.

Which process should we automate first?

Start where manual handling, volume, delays, errors or control risk are concentrated. We normally look for a process with a clear trigger, defined outcome and enough repetition that improvement can be measured.

Does workflow automation work for regulated or audited operations?

Yes, provided controls are designed into the workflow. State, ownership, evidence, review, approvals and history can be captured as part of the process rather than reconstructed afterwards.

Can our team maintain and extend the workflows?

That is an explicit design consideration. The right administration model depends on the platform and complexity, but documentation, training and handover should make routine changes manageable without treating every adjustment as a redevelopment project.

Start with the process that keeps moving manually.

Tell us what starts the work, who touches it, where it waits and which systems are involved. We’ll help determine what should change, what should automate, and what should remain a human decision.
